Unlike a general resume checklist, an ATS evaluation checklist focuses specifically on machine-readability — not visual aesthetics.

The Complete ATS Resume Checklist (2026)

✅ Section 1: File Format & Technical Compliance

File saved as DOCX or PDFDOCX is preferred by Workday. PDF is safer for Greenhouse and Lever. Never use .pages, .odt, .rtf, or .wps.
File size under 2MBLarge image-heavy PDFs can fail upload validators before the parser even starts.

✅ Section 2: Layout & Structure Compliance

✅ Section 3: Section Headings

Use standard heading labelsATS systems map content to fields based on section headings. Use: Work Experience, Education, Skills, Certifications, Summary. Avoid creative labels like "Where I've Been" or "My Expertise."
All major sections presentEnsure your resume includes: Contact Info, Professional Summary, Work Experience, Education, and Skills at minimum.
Contact info in main body (not header)Name, email, phone, and LinkedIn URL should appear at the very top of the body text — not in a Word document header.

Job title appears in your resumeInclude the exact job title from the posting in your Professional Summary or most recent role. This is the highest-weighted field in most ATS match algorithms.
Hard skills match job description keywordsIdentify required technical skills from the job description and include exact-match terms — not synonyms or abbreviations only.
Keyword density is 1–3% per major skillInclude each key skill 2–4 times across different sections (Summary, Experience, Skills). Over-repetition triggers spam filters.
No keyword stuffing in white textHidden white-on-white keyword stuffing is detected and penalized by modern ATS platforms including Workday and Greenhouse.

✅ Section 5: Work Experience Quality

Dates in consistent formatUse Month Year format consistently: Jan 2022 — Present. Mixed formats confuse date parsers and create gaps in employment history.
Quantified achievements (numbers, metrics, %)ATS systems using AI scoring weigh bullet points containing measurable results higher. Include at least one metric per role: "Reduced load time by 40%", "Managed $2M budget".
Active voice action verbsStart each bullet with a strong action verb: Led, Built, Reduced, Increased, Managed, Developed. Passive voice bullets score lower in NLP analysis.

✅ Section 6: ATS-Specific Platform Rules

Workday: DOCX format, no headers/footersWorkday strongly prefers DOCX. Headers and footers are invisible. Multi-column layouts scramble field mapping.
Greenhouse: Clean PDF preferredGreenhouse parses PDFs well but struggles with multi-column layouts. Use single-column PDF for best results.
Taleo: Avoid special characters and bulletsOracle Taleo can misparse special bullet symbols. Use standard hyphens or plain text bullets. Dates must be Month YYYY format.
Lever & Ashby: PDF or DOCX, both workLever and Ashby use modern parsers that handle both formats well. Focus on keyword density and clean headings.
